Cancellation & Refund Policy

At China Tanzania Adventures, we know that Kilimanjaro climbs and Tanzania safaris require serious planning and investment. While we always aim to be flexible and supportive, many tour costs are paid in advance to hotels, national parks, staff, and suppliers. Because of this, refunds depend on the timing of cancellation and third-party policies.

Why Full Refunds Are Not Always Possible

Although a tour may not have started yet, many expenses are paid in advance to secure services and ensure smooth travel operations. China Tanzania Adventures works with multiple partners and suppliers who have their own policies and non-refundable costs.

These expenses may include:

Accommodation and Transport Providers

Many tours include accommodations at partner hotels and lodges, as well as local transport or domestic flights. These service providers often require advance payments that may be partially or fully non-refundable depending on their individual terms.

Tanzania National Parks Authority Fees

Entry fees and conservation fees for Mount Kilimanjaro and national parks must be paid in advance. Once submitted to the park authorities, these fees are typically non-refundable.

Food Supplies and Expedition Logistics

Mountain climbs and safaris require advance purchases of fresh food, fuel, bottled water, medical supplies, camping equipment, and other operational materials. Many of these items are perishable and prepared before the trip begins.

Staff Preparation and Operational Costs

Our local team invests significant time and resources preparing each tour, including planning, reservations, equipment preparation, logistics coordination, and on-ground support. Tourism supports many local families, and we are committed to maintaining fair employment and responsible operations.

Because of these commitments and advance payments, full refunds may not always be possible.


Our Commitment to Flexibility

China Tanzania Adventures always aims to be fair, understanding, and flexible whenever possible.

Each cancellation request is reviewed individually. In exceptional circumstances — such as serious illness, death, natural disasters, or major travel disruptions — we may consider alternative arrangements, partial refunds, or credit options when feasible.

Refund requests are typically reviewed within 72 hours after receiving a formal cancellation notice.


Cancellation Fees

Refund amounts depend on how far in advance we receive your written cancellation notice.

Standard cancellation terms:

  • Deposit payments are non-refundable, but may be transferable to a future trip.

  • More than 90 days before tour start – 10% cancellation fee

  • 60–89 days before tour start – 30% cancellation fee

  • 30–59 days before tour start – 60% cancellation fee

  • 8–29 days before tour start – 80% cancellation fee

  • 0–7 days before tour start – No refund

Please note:

  • If partner hotels, airlines, or suppliers charge higher cancellation penalties, additional non-refundable costs may apply.

  • Bank transfer charges or transaction fees will be deducted from refund amounts.


Postponements and Future Travel Credit

Instead of canceling entirely, guests may choose to reschedule their trip. Deposits and payments can often be transferred to future travel dates.

Please note:

  • Future trip prices may change due to park fee increases or operational cost changes.

  • Rescheduling without penalties depends on availability and partner policies.

  • Peak travel seasons (mid-December–March and July–October) may involve higher cancellation penalties due to strict lodge and airline policies.


Travel Insurance Recommendation

We strongly recommend that all travelers purchase comprehensive travel insurance covering trip cancellations, medical emergencies, and travel disruptions.

In case of unforeseen circumstances such as illness, flight cancellations, or emergencies, insurance can help recover financial losses. China Tanzania Adventures will provide supporting documents for valid insurance claims when required.
